Job Overview

This role is focused on providing exceptional administrative support in a fast-paced office environment. The ideal candidate will possess excellent communication and interpersonal skills, with the ability to work independently or as part of a team.

Key Responsibilities
  • Perform general office duties in accordance with established procedures or management requests.

  • Support the Aviation Executive in roster management, including submitting public holiday and overtime reports.

  • Update records for leave, time-in-lieu, and sick leave, and submit medical certificates and social welfare claims as needed.

  • Create, track, and complete purchase orders for all requirements.

  • Maintain the Records Management system and provide administrative support to unit management.

  • Provide telephone and email support to staff, industry, and the general public.

  • Assist with training activities, scheduling, and record-keeping.

  • Process licence applications and carry out documented procedures.

  • Act as the focal point for Health and Safety and liaise with contractors.

  • Liaise with Facilities Management and arrange catering and room bookings.

  • Maintain notice boards and oversee office supplies.

  • Prepare for annual payroll and health and safety audits.

  • Process travel and subsistence claims and schedule shred collections.

  • Coordinate wellbeing initiatives and first aid training.

  • Complete and issue standards forms and respond to queries.

Essential Requirements
  • Experience in a busy administrative position.

  • Excellent interpersonal and communication skills.

  • Proficient in Microsoft Office Suite and other relevant software.

  • Ability to work independently or as part of a team.
