Business Administration Coordinator

About the Role
This position is ideal for a highly organized and detail-oriented individual who can provide exceptional administrative support to our team. As an Administrative and Executive Support specialist, you will be responsible for delivering high-quality services to our members and staff.
Key Responsibilities:
- Provide 1st level support for general queries from members and forward calls to team as appropriate
- Coordinate member queries/cases/matters through Case Management System and workflows
- Administer cases - Format documents, reports, and submissions
- Maintain accurate member data in CRM & provide member access to Ibec website where required
- Respond to member requests for documentation and web-based information
- Process internal information requests
- Issue communications/segments to members as required
- Manage team diaries and travel arrangements
- Co-ordinate meeting arrangements - minutes and agendas
- Administrate events/webinars/podcast including organizing refreshments
- Manage bookings and promotions
- Manage invoices and purchases
