Job Opportunity:

A Soft Services Manager is required to oversee the daily operational management of facilities soft-services on-site.

This includes ensuring that security, landscaping, cleaning, pest control, waste management, laundry, and service companies maintain legislative and regulatory accreditation and licensing for site.

The successful candidate will be responsible for monitoring staffing issues, resolving them to ensure staff are fully trained and motivated, thus minimizing employee turnover rates and associated disruption to service delivery to clients.

They will maintain regular contact with stakeholders, consult on key decisions, and advise on incidents, escalation, and complaints.

The role involves managing and coordinating all soft services contractors working under the company's scope in areas including specific GMP equipment/areas and non-GMP equipment/areas.

The Facilities Manager will ensure that all PMs and Work Orders are completed on time in a safe and effective manner.

They will also ensure that all Risk Assessment, Safe Plan of Actions, and Method Statements are in place and are adhered to at the place of work.

The Facilities Manager will provide feedback regarding contractor performance, especially at contract review.

They will ensure critical work activities are identified and completed on time, as well as statutory inspections are planned and executed within agreed timelines.

They will also ensure Service Levels are managed effectively, providing technical and operational support when required, and communicating with stakeholders when services or environmental conditions could be compromised.

The role involves ensuring that all Purchase Orders are placed in good time and all contractors have quotations in place for all work activities.

They will ensure quality systems are in place and report on quality directives, while actively participating in internal and external audits.

They will also recommend improved ways of working to achieve the goal of continuous improvement and best practices.

This position will be responsible for managing the most effective cleaning strategy in order to preserve complete housekeeping and cleaning levels on the site.

The Facilities Manager will ensure that all risk assessment, Safe Plan of Actions, Assignment Instructions, security audits, incident/emergency reports, and method statements are in place, completed, and are adhered to at the place of work.

They will take reasonable care of their own health and safety, as well as that of others, by eliminating or reducing risks where practicable by complying with site safety rules and instructions and reporting hazards to management for prompt action.

The successful candidate will ensure all contract staff (security, cleaning, landscaping, pest control, laundry, waste) are fully engaged and committed to delivering exceptional service levels to visitors and stakeholders.

Requirements:

3 to 5 years' experience in building services or Contractor Co-ordination

Ability to develop teamwork through leadership/people management

Customer and results-focused

Strong interpersonal/communication skills
