Legal Office Manager Job Description

Job Summary:

The Legal Office Manager will oversee the day-to-day operations of the legal office, ensuring that all tasks are completed efficiently and effectively.

Key Responsibilities:

  • Manage accounts, including bank reconciliations and credit control
  • Ensure compliance with Solicitors Accounts Regulations
  • Maintain accurate records and generate reports as required
  • Oversee action required to be taken in respect of aged debt
  • Manage facilities, including office equipment and maintenance contracts
  • Ensure facilities comply with Health & Safety regulations
  • Manage client areas, including reception and meeting rooms
  • Maintain office inventories, including equipment and service provider contact details
  • Order office supplies and manage purchase agreements with external suppliers
  • Allocate work to legal secretaries and executives, and source temporary staff when necessary
  • Manage staff resources, including payroll and supervision of secretarial and administrative staff
  • Recruit, train, and develop secretarial and administrative staff
  • Manage support cover and induction process for new staff
  • Manage information technology, including IT infrastructure and usage policy
  • Manage communications, including internal and external correspondence

Requirements:

  • Minimum 3 years' experience in a similar role
  • Previous experience in a legal practice is desirable but not essential
  • Staff management experience is essential
  • Highly motivated individual with excellent organizational skills
  • Ability to take responsibility and act on own initiative
  • Highly professional approach to work
  • Working knowledge of Microsoft Office and ideally Keyhouse Case Management
  • Capacity to communicate effectively
