The Role
  • Office Organisation: Managing administration tasks including software, supplies, and equipment to ensure efficient workflow.
  • Managing Director Support: Provide support to the Managing Director including meeting preparation, travel arrangements, internal project assistance, research and general tasks.
  • Department Support: Providing individual department support to line managers to ensure efficient running of each department including system management, client documentation, report preparation and technical team planning (Vehicles, Hotels, etc).
  • Administrative Support: Providing administrative assistance to staff and executives, including scheduling meetings and managing calendars.
  • Human Resources: Assisting department managers with hiring processes, onboarding new employees, and maintaining employee records.
  • Communication: Serving as a point of contact for internal and external communications, including handling correspondence and phone calls.
  • Customer Service: Working with department managers to address customer complaints and concerns, resolving issues effectively and maintaining customer satisfaction.
  • Partner Management: Coordinating with partners, suppliers and service providers to ensure products and services are delivered to the highest customer expectations.
  • Policy Implementation: Developing and enforcing company policies and procedures to ensure compliance and efficiency.
  • Event Planning: Organising company events, exhibitions, meetings, and team-building activities.
  • Problem Solving: Addressing issues within the office such as conflicts or operational challenges.
Expertise
  • Strong office administration experience is required.
  • Proficiency in Google Workspace or Office 365 Suite.
  • Strong IT skills.
  • Experience with business packages such as ERP or accounts software.
Person
  • Highly organised with excellent attention to detail.
  • Flexible and adaptable to changing priorities and tasks.
  • Disciplined and able to work independently.
  • Self-motivated and proactive in taking initiative.
  • Excellent communication and interpersonal skills.
Education & Experience
  • A minimum of 2 years' experience as an office administrator or in business support, preferably within an SME environment, working with a small team.
  • Proficient in Google Workspace or Office 365 suite.
  • Experience with ERP, accounts, or similar business packages.
