Community Administrator Kyle
">Key Responsibilities:
- Manage petty cash for various departments across the community.
- Process purchases and prepare them for approval by a designated authority figure.
- Utilize purchase order systems to upload invoices to a national system, while also planning purchases within allocated budgets.
- Reconcile Community Members with Support Needs (CMSN) accounts on a monthly basis, adhering strictly to company policy and procedure.
- Maintain relationships with customers and suppliers, addressing queries in a professional manner.
HR Functions:
- Oversee recruitment and advertising of vacancies through the Occupop System.
- Provide support during the shortlisting and interviewing process for potential candidates.
- Ensure a smooth onboarding process for new staff members, adhering to company policy and procedure.
- Maintain accurate Personnel and HR files for all staff, including agency staff.
- Handle Garda vetting for all staff, as well as the renewal of same.
- Guarantee the accuracy and quality of the HR database (TMS) and employee information systems.
- Manage leave effectively, following up on HR functions related to recruitment, sick leave, statutory leave, etc.
Other Duties:
- Collaborate with colleagues to ensure efficient task completion to the highest standard.
- Coordinate the reception area efficiently.
- Manage incoming calls and messages, ensuring records are filed appropriately in both hard copy and electronic formats.
- Attend meetings and take minutes.
- Support the completion of reports, returns, and notifications to relevant authorities.
