Job Description:

Housing Administration Responsibilities:

  • Monitoring and managing rent accounts, including sending notifications and making contact with tenants regarding their rent payments.
  • Providing administrative support to the Property Team in recording and monitoring Rent Arrears Agreements and acting as the point of contact for arrears calls to discuss payment plans.
  • Completing spreadsheets of received payments, making bank deposits, and setting up household budget payments with An Post.
  • Submitting RAS applications to Local Authorities and conducting annual rent assessment reviews.
  • Receiving repair orders through various channels, recording them on the housing management system, allocating them to housing officers for assessment, and ensuring completion by following up with tenants and contractors.
  • Liaising regularly with housing officers and finance departments to update final costs and close off work orders once completed.
  • Scheduling and tracking Health and Safety checks, ensuring all certificates are uploaded, regulatory compliance is maintained, and assisting with Asset Management Plans.
  • Tracking and reporting on voids, ensuring timely refurbishments, and supporting tenant onboarding by setting up tenants on the housing system, calculating rent, setting up utilities, and collaborating with Housing Officers for a smooth move-in process.
  • Providing general administrative support to the team, including monitoring petty cash and completing monthly reports.
  • Handling tenant queries via phone, directing them to the appropriate department, and ensuring all documentation is correctly recorded on the housing management system.

Required Skills and Qualifications:

  • Previous administration experience.
  • Proficiency in MS Suite (Excel, Word, and Outlook) with excellent attention to detail.
  • Solutions-focused attitude with strong teamwork and communication skills.
  • Trustworthy and able to conduct the role with integrity.
  • Experience in a voluntary housing organisation and familiarity with housing software systems (desirable).
