Job Description:
As a Wedding Coordinator, you will be responsible for handling all incoming wedding enquiries, communicating event details to various departments, issuing contracts for confirmed bookings, managing diaries for revenue maximisation, preparing event correspondence, distributing function sheets efficiently, assisting with bill preparation and accounts liaison, producing monthly reports, and performing general sales office administration tasks.
Key Responsibilities:
- Enquiry Handling: Handle all incoming wedding enquiries from potential clients, responding promptly to queries and providing clear information about our services.
- Event Communication: Communicate wedding/event details to relevant departments, ensuring seamless coordination and execution.
- Contract Issuance: Issue contracts for confirmed bookings, maintaining accurate records and adhering to contractual terms.
- Diary Management: Manage diaries for revenue maximisation, optimising scheduling and minimising downtime.
- Correspondence: Prepare event correspondence, including invitations, confirmations, and reminders, ensuring timely dispatch and effective communication.
- Function Sheets: Distribute function sheets efficiently, guaranteeing accurate information and prompt delivery.
- Billing and Accounts: Assist with bill preparation and accounts liaison, ensuring accurate billing and resolving any discrepancies.
- Reporting: Produce monthly reports, highlighting key performance indicators and areas for improvement.
- Administrative Tasks: Perform general sales office administration tasks, including data entry, filing, and record-keeping.
Requirements:
We are seeking an individual with at least one year's experience as Sales Coordinator/Event Coordinator/Wedding Coordinator in a quality hotel establishment or wedding destination. The ideal candidate should demonstrate excellent administrative and IT skills, knowledge of Microsoft Office, and strong team spirit.
