Job Title: Facilities Coordinator

Job Description:

This role involves overseeing the operational management of facilities and soft-services on-site. Responsibilities include ensuring that security, landscaping, cleaning, pest control, waste management, and laundry service companies maintain legislative and regulatory accreditation and licensing.

  • Staffing issues will be monitored to ensure staff are fully trained and motivated, minimizing employee turnover rates and associated disruption to services provided to clients.
  • Maintenance of regular contact with the Contracts Manager, consulting on key decisions, advising on incidents, escalation, and complaints.
  • Management and coordination of all soft services contractors working under the company's scope in areas including specific GMP equipment/areas and non-GMP equipment/areas.
  • Ensuring all PMs and Work Orders are completed on time in a safe and effective manner.
  • Implementation of risk assessments, safe plans of action, and method statements at the place of work.
  • Providing feedback regarding contractor performance, especially at contract review.
  • Identification and completion of critical work activities on time.
  • Management of statutory inspections within agreed timelines.
  • Effective management of service levels and provision of technical and operational support when required.
  • Communication with customers when services or environmental conditions could be compromised.
  • Issuance of purchase orders in good time and obtaining quotations from contractors for all work activities.
  • Implementation of quality systems and reporting on quality directives.
  • Participation in internal and external audits.
  • Conduct of monthly toolbox talks on general safety and safe plant operation.

The successful candidate will possess excellent leadership and people management skills, with a strong focus on customer satisfaction and results-oriented work. A high level of organizational skill is also required, along with the ability to communicate effectively with various stakeholders.
