About us
We are a dynamic, purpose-driven childcare and wellbeing organisation dedicated to serving families with heart, humour and high standards.
From offering Saturday childcare for homeless families to building Ireland's first "Wellbeing Village", we believe in doing things differently.
Now, we are looking for a grounded, trustworthy and proactive Personal Assistant to help our founder stay organised and support the day-to-day running of our growing creche network.
Key Responsibilities
Personal Assistant Duties
Manage diary, reminders, and scheduling (property meetings, staff reviews, events, etc.)
Take and organise notes from meetings (WhatsApp voice memos, written)
Draft emails, letters and proposals (property, TUSLA, HR, funding etc.)
Assist with document filing and to-do list tracking
Help prepare reports, Canva documents and social media drafts when needed
Occasionally help with errands (printing, posting, shopping etc.)
Creche Operations Support
Help organise staff rosters and timesheets
Follow up on staff incident forms, child records and TUSLA requirements
Support with new staff onboarding paperwork and Garda vetting
Help prepare materials for upcoming inspections or reviews
Assist with event planning (fundraisers, open days)
Monitor cleaning logs, complaint forms, handwashing records and daily checklists
Upload and backup files using Drive or secure hard drive
Ensure all policy folders, staff files and compliance documents are up to date
Oversee staff holidays trackers, overtime log and rota clarity across creches
Track petty cash use, shopping list and creche budget spend
Who you are
Highly organized and reliable with strong attention to detail
A clear communicator (both written and spoken)
Good with spreadsheets, emails, Canva and basic tech
Flexible and able to juggle many moving parts calmly
Respectful of confidentiality and able to handle sensitive information
Bonus points
Have experience in early years, community projects or wellbeing
Love dogs (we have Messi the pup around)
Have a good sense of humour and a get stuck in attitude
Speak another language (helpful for communicating with diverse families)
Are passionate about helping women, children and communities thrive
Additional requirements
Full, clean driving license required
Access to own car preferred – may involve light travel between creche sites
Must be available for in person work at least 3-5 days per week
Comfortable working in from a laptop using cloud-based folders
Must sign and adhere to our Confidentiality Agreement and GDPR guidelines
