
Administrative Support Specialist

Job Description:
We are seeking an experienced Administrative Support Specialist to support a busy property team. As a key member of the team, you will be responsible for providing high-quality administrative support, ensuring the smooth operation of daily tasks and projects.
Your primary focus will be on providing excellent support to our property team, including audio typing, document preparation, and managing files using Practice Evolve. You will also be drafting, amending, and filing legal documents, as well as submitting applications to the Land Registry and filing Stamp Duty returns via ROS.
Key Responsibilities:
- AUDIO TYPING AND DOCUMENT PREPARATION: Provide accurate and timely audio typing services, preparing documents for review and submission.
- FILE MANAGEMENT: Manage files using Practice Evolve, ensuring they are up-to-date and easily accessible.
- DRAFTING AND FILING DOCUMENTS: Draft, amend, and file legal documents, ensuring compliance with relevant regulations.
- LAND REGISTRY SUBMISSIONS: Submit applications to the Land Registry, maintaining accurate records and ensuring timely submissions.
- STAMP DUTY RETURNS: File Stamp Duty returns via ROS, meeting deadlines and ensuring accuracy.
- GENERAL ADMINISTRATION: Provide general administrative support, including responding to emails, taking phone calls, and performing other tasks as required.
Requirements:
- 2+ YEARS' EXPERIENCE IN A LEGAL SECRETARY ROLE (PROPERTY FOCUS): Proven experience in a similar role, with a strong understanding of property law and procedures.
- NON-Pursuing FE1 EXAMS: Not currently pursuing FE1 exams, allowing for a focus on supporting the property team.
- EXCELLENT DICTATION AND IT SKILLS: Proficient in dictation software and IT systems, including Practice Evolve and ROS.
- FAMILIARITY WITH LAND DIRECT AND ROS SYSTEMS: Familiarity with Land Direct and ROS systems, ensuring seamless submissions and record-keeping.
- STRONG ORGANISATIONAL AND COMMUNICATION SKILLS: Excellent organisational and communication skills, enabling effective collaboration with the property team.
- ABILITY TO MANAGE WORKLOAD INDEPENDENTLY: Able to manage workload independently, prioritising tasks and meeting deadlines.
