
High-Level Administrative Support Specialist

We are seeking a dedicated and organized individual to join our team as an Executive Assistant.
The Role:You will provide comprehensive support to our Commercial Regional Heads, ensuring the smooth execution of their goals. Key responsibilities include:
- Acting as the first point of contact for the Commercial Regional Heads, proactively reviewing and tracking incoming enquiries.
- Managing calendars and diaries, coordinating schedules, meetings, and international travel.
- Liaising with company travel agents to book travel, hotels, and transport when necessary.
- Providing high-level business support, including preparing meeting agendas, briefing packs, presentations, and documents, ensuring follow-up actions are progressed.
- Coordinating, attending, and taking minutes for team meetings and other relevant meetings.
- Building and maintaining relationships across the Commercial leadership team to ensure coordination of priority workstreams and ongoing management of actions and status reports.
- Providing project support, reviewing and summarizing reports, presentations, and documents suitable for presentation at Board level.
- Maintaining trackers and access to key information through internal systems and data management processes.
- Organizing team and customer events.
- Supporting Europe and Americas teams with business travel and coordinating customer events when required.
We are looking for a self-motivated individual with excellent relationship-building skills, who thrives in fast-paced environments. The successful candidate will have:
- At least 5 years' experience or equivalent in a similar role.
- Experience working in a financial setting or aircraft leasing sector is advantageous.
- Demonstrable experience in handling sensitive business correspondence and confidential information with discretion.
- Strong oral and written communication skills.
- Ability to work in a dynamic environment with high levels of flexibility and adaptability.
- Experience in multitasking and prioritizing an ever-changing workload.
- Autonomy and ownership of responsibilities.
- Proficiency in Microsoft Office suite.
