Salary: Appointment will be made on Grade IV Officer Scale (€34,256 - €50,202, €53,304 LSI) at a point in line with Government pay policy.
Hours of work: 35 hours per week

Position SummaryThe successful candidate will work as part of the Department of Social Work in Beaumont Hospital.
They will have a high degree of knowledge and understanding of Hospital systems and processes and the overall workings of the Social Work Department.
They will be organised, have very good communication skills and computer literacy and be adaptable and flexible.They will have a high level of awareness of patient confidentiality and ensure patient-centred care is at the forefront of their service.They will follow established policies and procedures.
They will provide an effective, consistent and efficient level of clerical support to the Social Work team, patients and all members of the healthcare team.
They will liaise with the management team in identifying issues, proposing solutions and implementing changes as needed to meet the demands of the service.To perform such other duties appropriate to office as may be from time to time assigned by the Grade V Social Work Department Manager or Principal Social Worker.ResponsibilitiesService Management: Responsible for the administration duties within the Department and assist with the overall smooth running of the Department including:E-referrals process in-patient and out-patient referrals to the department as soon as received and direct them to appropriate MSW, or duty MSW, if applicable.When referrals are designated as rota cases, ensure that the case is allocated on a sequential basis and that it is registered on the stat system to reflect which MSW is dealing with the case.Manage, retrieve and store case files daily.Record of requests for card files stored off-site to be maintained.Filing of closed card files to be kept up to date & pull medical charts.Check downloads to E-referrals on a daily basis and notify Computer Department of any problems that may be encountered with the system.Typing correspondence for the social work team.
Taking telephone calls and routing them to the relevant social workers.
Deal with telephone queries where appropriate and log calls.Photocopying/Printing/E-mailRelief cover when other department secretaries are on leaveAny other duties as assigned.Reception Duties – Dealing with patients and their families who call to the Social Work reception and dealing with their queries where appropriate and then refer on to social worker.Taking telephone calls and routing same to the relevant social worker.
Deal with telephone queries where appropriate and log calls.When necessary assist with the maintenance of the Home Care Packages and Long Stay List databases.
Record and forward HCP application to the appropriate Health Service Executive LHO.Providing administrative support to Head Social Worker and Social Work team.Maintenance and update of databasesMaintaining stationery supplies.Maintaining Standards: To comply with all relevant statutory, local and hospital regulations and policies at all timesUndertake training and further learning to develop the personal skills required to improve patient careAttendance at meetings where requested by Social Work Department Manager.Communication: Strong communication skills and ability to manage challenging patients and family members attending the Social Work DepartmentCommunication within the department and be the point of communication to all staff internal and external to the Department and organisationInitial point of contact for patient and wider staff queriesType all relevant correspondence in relation to the operations of the department where applicableQualificationsSelection Criteria: Selection criteria outline the qualifications, skills, knowledge and/or experience that the successful candidate would need to demonstrate for successful discharge of the responsibilities of the post.

Professional Qualifications, Experience, etc: (a) Eligible applicants will be those who on the closing date for the competition:(i) Have satisfactory experience as a Clerical Officer in the HSE, TUSLA, other statutory health agencies, or a body which provides services on behalf of the HSE under Section 38 of the Health Act 2004 OR (ii) Have obtained a pass (Grade D) in at least five subjects from the approved list of subjects in the Department of Education Leaving Certificate Examination, including Mathematics and English or Irish*.
Candidates should have obtained at least Grade C on higher level papers in three subjects in that examination.
OR (iii) Have completed a relevant examination at a comparable standard in any equivalent examination in another jurisdiction OR (iv) Hold a comparable and relevant third level qualification of at least level 6 on the National Qualifications Framework maintained by Qualifications and Quality Ireland, (QQI).
*: Candidates must achieve a pass in Ordinary or Higher level papers.
A pass in a foundation level paper is not acceptable.
Candidates must have achieved these grades on the Leaving Certificate Established programme or the Leaving Certificate Vocational programme.
The Leaving Certification Applied Programme does not fulfil the eligibility criteria.
AND (b) Candidates must possess the requisite knowledge and ability, including a high standard of suitability, for the proper discharge of the office.

Age restriction: Age restriction shall only apply to a candidate where s/he is not classified as a new entrant (within the meaning of the Public Service Superannuation (Miscellaneous Provisions) Act, 2004).
A candidate who is not classified as a new entrant must be under 65 years of age on the first day of the month in which the latest date for receiving completed application forms for the office occurs.

Health: Candidates for and any person holding the office must be fully competent and capable of undertaking the duties attached to the office and be in a state of health such as would indicate a reasonable prospect of ability to render regular and efficient service.

Character: Candidates for and any person holding the office must be of good character.
Desirable: • Previous Grade IV experience • Relevant experience in the healthcare setting (acute hospital, rehab centre etc)
