The Role

My client, an independent healthcare provider is seeking an experienced Admin Assistant to join their team based in Dublin 16. This is a full-time, 2 year fixed term contract based on-site.

Reporting to the Director of Nursing, you will be responsible for providing extensive administrative support.

Tasks & Duties

  • Generating accurate and timely organisational reports and analytics for nurse management and regulatory purposes.
  • Managing diaries, coordinating meetings, and organising events as needed.
  • Overseeing workforce planning and scheduling for Nursing and Healthcare staff.
  • Establishing, implementing, and evaluating systems.
  • Completing assigned projects and administrative tasks under the direction of the Director of Nursing or designated authority.
  • Drafting meeting minutes and necessary correspondence.
  • Maintaining and updating organisational information systems.
  • Establishing and managing an efficient filing system.
  • Ensuring the accuracy and currency of records and databases.
  • Providing reception coverage when needed.
  • Collaborating in the implementation and review of policies and procedures.
  • Adhering to data protection regulations and organisational governance frameworks.

Knowledge, Experience and Qualifications

  • Hold a relevant third level qualification.
  • Prior experience in administration in a hospital/healthcare setting is essential.
  • Proficiency in workforce planning and rostering.
  • Exceptional verbal and written communication abilities.
  • Demonstrated expertise in time management, task organisation, and diary management.
  • Thorough understanding of data protection practices, policies, and procedures.
  • Track record of establishing effective relationships with both internal and external stakeholders.
  • Proven capability to operate both operationally and strategically.
  • Ability to manage multiple tasks, prioritise effectively, and work autonomously.
  • Strong presentation skills and proficiency in IT.
  • Comfortable working in a fast-paced office environment, while maintaining high standards of professionalism, discretion, and confidentiality.
